Marketing team planning prospecting campaigns

A marketing agency doesn't prospect the way a freelancer does. It juggles several clients at once, needs separate email accounts and campaigns, and has to justify results with numbers. The tools that actually work are Smartlead for scalable cold email, Waalaxy or Scrupp for LinkedIn, and Apollo.io to feed everything with data. This guide will help you pick the right one for your type of agency.

What changes when you prospect for several clients

If this sounds like you, start free with Waalaxy and adapt the flow to your niche.

The jump from freelancer to agency isn't about volume, it's about structure. A freelancer runs one campaign. An agency runs ten, each with its own domain, its email accounts, its audience and its message.

That's why tools that work for a freelancer fall short in an agency. You need separation between clients, sending limits that don't run wild, warmup for each client's domains and reports you can present in a meeting. Those are the things I look at before recommending anything.

Smartlead: cold email with unlimited warmup

Smartlead is, in my opinion, the most comfortable cold email tool for agencies. Its big advantage is unlimited warmup. You can warm every domain of every client without paying extra per inbox, which is exactly where other tools sting you on price.

I also like the multi-client management. You can keep each client in its own separate workspace, with their email accounts, their domains and their campaigns, without data getting mixed up. And the reports are clear enough to present as-is in a results meeting.

The basic plan runs around $39 per month, scaling up by sending volume. For an agency starting with three or four clients, it's one of the best value options out there.

Waalaxy: automated LinkedIn for every client

If your agency sells LinkedIn prospecting, Waalaxy is the benchmark. It automates invitations, follow-up messages and profile visits while mimicking human behavior, so you can scale without burning your clients' accounts.

For an agency, the key is managing several LinkedIn accounts from a single dashboard. Waalaxy has plans built for teams and agencies that let you organize campaigns by client and split the work between team members.

The free plan includes 50 invitations per month, enough to test it, and paid plans start at around €40 per user per month. If your agency model charges per managed campaign, one single client pays for this tool.

Scrupp: the Waalaxy alternative for LinkedIn

Scrupp does pretty much what Waalaxy does, automating LinkedIn prospecting, but with a few nuances that make it interesting for agencies. It has features aimed at managing multiple accounts and working in teams, and its interface is designed for people who have already used similar tools.

The main difference is in the approach and in small details of the interface and the limits. In practice, if Waalaxy doesn't convince you on price or on some specific feature, Scrupp is the first alternative I'd try before giving up on LinkedIn.

Both are safe and both respect LinkedIn's limits. Choosing between them usually comes down to trying both and seeing which one fits your workflow better.

Instantly: easy to scale if you send a lot of email

Instantly is the Smartlead alternative when your agency does a lot of cold email and wants a gentler learning curve. It lets you connect unlimited email accounts and manage campaigns for several clients without getting stuck in advanced configuration.

Its growth plan runs around $37 per month and includes unlimited accounts, so you can add client inboxes without the price exploding. It's a very solid option if your team is small and doesn't want to spend hours mastering a technical tool.

The downside, compared to Smartlead, is that some warmup and advanced client management features are less polished. For high volume and lots of clients, I'd stick with Smartlead. To start and grow fast, Instantly is more accessible.

Apollo.io: the database that feeds everything

None of the tools above is worth much without a good lead list. Apollo.io is the B2B database I use to feed client campaigns. Over 275 million contacts, with filters for job title, industry, company size and location.

For an agency, Apollo is the fastest way to build segmented lists for each client without relying on the client handing over their contacts. The free plan gives you limited credits to get started, and paid plans start at around $49 per month per user.

One tip. Always run Apollo's emails through a verifier before launching a big campaign. The data is good, but at that volume there are always some outdated entries, and in cold email one extra bounce hurts your deliverability.

How to build your stack by agency type

Not every agency needs the same thing. Here's what I'd put together in each case.

If your agency sells LinkedIn management, the core is Waalaxy or Scrupp, and you add Apollo for the lists. That covers campaign and data.

If you sell cold email, the core is Smartlead or Instantly, and Apollo is again the add-on for the lists. Smartlead's unlimited warmup is the argument that tips me toward it when there are several clients.

And if you sell full multichannel prospecting, you combine LinkedIn and email. Waalaxy for the first touch on LinkedIn and Smartlead to continue the conversation by email once you get the address. That's the stack that retains the most clients long term.

Final verdict

For marketing agencies, the tools that actually work in 2026 are Smartlead for scalable cold email, Waalaxy or Scrupp for LinkedIn, and Apollo.io for the data. The final choice depends on whether your agency lives off LinkedIn or off email.

My recommendation is to start with one channel, set it up properly with a solid tool, and add the second once the first is delivering. An agency that masters one channel always beats one that does two halfway.
