The best tools for finding emails, in summary

Finding business emails with specialized tools

If you're looking for business emails in 2026, you don't need ten tools. With two or three well-chosen ones you cover 90% of the cases. Hunter.io is the best for finding and verifying emails by domain. Apollo.io wins when you need a huge database with job titles and phone numbers. And Instantly is worth a look if you already do cold email and want leads integrated with your campaign.

I'm going to explain what each one does, how much it costs and, above all, in which situation you should pick one over the other. Because the perfect tool doesn't exist. What exists is the right tool for your specific case.

Why you need a tool to find emails

Of all of these, Hunter.io is the one I'd recommend starting with. You can create your free account here.

You might think searching for emails by hand is enough. Let me tell you what happens in practice. Finding the email of a marketing director at a mid-size company can take ten minutes if you don't know where to look. You have to guess the format, whether they use their own domain or a generic provider, whether it's firstname.lastname or initial.lastname. And even then you can miss.

Then there's the underlying problem. An unverified email bounces. And if it bounces, it damages your sending domain's reputation. That's exactly what an email provider watches most when you do cold email, because a high bounce rate can send your emails to spam for weeks.

An email finding tool solves both things. It finds the email and, in most cases, tells you whether it really exists before you send anything. That difference, between a list of addresses and a useful contact list, is what makes it worth paying for.

What a good email finding tool should have

There are four things I look at before taking out my card.

First, the data source. Some tools crawl the public web, others buy databases, others combine both. That determines how fresh and reliable the data is.

Second, verification. The tool should tell you how confident it is that the email exists before you use it. An email that bounces costs you money and reputation.

Third, domain search. If I'm working with a list of 200 companies, I want to paste the domains and get the emails for each one without going one by one.

And fourth, price per contact. If you end up paying a euro for every verified email, your campaign gets expensive very fast.

With that in mind, these are the tools I actually use.

Hunter.io: the benchmark for finding and verifying emails

Hunter.io is the tool I've been using the longest. Its star feature is the domain search. You enter a company's domain and it returns all the associated public emails, the pattern that company uses and a confidence level for each email.

What I like most about Hunter is the clarity. It tells you the exact format, for example firstname.lastname@company.com, and from there you can deduce the email of anyone at that company even if they don't appear in the list. In day-to-day work that saves a huge amount of time, because you stop guessing formats.

Verification is solid too. The verifier checks whether the mailbox exists and accepts mail before you send. It's not infallible, none of them are, but it cuts bounces noticeably. It's the feature I use when I inherit a list of dubious origin and want to clean it up before a campaign.

Hunter has a free plan with a limited number of searches per month, enough to test it and for very occasional use. Paid plans run around $49 per month at the most basic tier, and go up depending on the volume of searches and verifications you need.

Apollo.io: the biggest database, emails included

Apollo.io is something else. It's not just an email finder, it's a B2B database with over 275 million contacts and tens of millions of companies. You search for a job title, an industry, a company size, a location, and it returns entire lists of leads with email, phone and LinkedIn profile.

For me, Apollo is the volume tool. When I need to build a list of 5,000 operations directors in a specific industry, Apollo does it in minutes. Hunter isn't built for that, and forcing it would be a mistake.

The downside is data quality. Being so big, some emails are outdated or unverified. Apollo has its own verification, but it's worth running important emails through a verifier before launching a big campaign. It's the price you pay for volume.

Apollo has a free plan with limited credits each month, and paid plans start at around $49 per month per user. For a freelancer, the free plan can be enough to get started and validate whether the workflow fits you.

Instantly: the lead database integrated with sending

Instantly started as a cold email tool, but in recent years it has added its own lead database. The idea is that you don't have to jump from one tool to another. You find the lead in Instantly, verify it and put it straight into your sending campaign.

That's convenient if you already use Instantly for sending. You save the export, the import and the hassle of keeping two subscriptions and two data flows. The database isn't as big as Apollo's, but for most campaigns it's more than enough.

Instantly's price runs around $37 per month on its growth plan, which includes unlimited email accounts and sending. The lead database is paid separately on some plans, so check carefully what each one includes before deciding.

Waalaxy: when your channel is LinkedIn

Waalaxy isn't an email finder in the strict sense. It's a LinkedIn automation tool that, on top of that, can enrich your contacts with their email when it's available on the platform. If your prospecting runs through LinkedIn, Waalaxy is more interesting to you than a domain finder.

The good thing is that Waalaxy lets you combine both channels. You can launch a LinkedIn campaign and, once you get the email, continue the conversation by mail. For many B2B businesses that double touch is exactly what improves the reply rate.

Its free plan includes 50 invitations per month, and paid plans start at around €40 per month. It's a cheap entry point if you're not sure yet whether your channel is LinkedIn or email.

The mistake of buying email lists

Before you ask me about the cheap lists sold all over the internet, here's the short version. Don't buy them.

Those lists are usually full of generic emails, outdated addresses and contacts that don't fit your audience. You buy them thinking you're saving time and end up spending twice as much on verification, not counting the bounces that damage your sending domain. A tool like Hunter or Apollo gives you fresher data and, above all, lets you filter by title and industry before paying.

How to combine tools without overspending

My advice isn't to pick one, it's to pick a flow. If your business lives off LinkedIn, start with Waalaxy and add a verifier when you get into email. If you do pure cold email, Instantly gives you database and sending in one payment. If you only need occasional emails and verification, Hunter is enough.

Most people I know end up with two. One to find leads and another to send. And that's fine, because trying to cram everything into a single tool usually means overpaying for features you don't use.

Final verdict

To find business emails in 2026, my recommendation is clear. Hunter.io if you want precision and per-domain verification, Apollo.io if you need contact volume with complete data, and Instantly if you want the database integrated with cold email sending. If your main channel is LinkedIn, Waalaxy is the natural complement.

Start with the tool that fits your main channel and add the second only when volume demands it. Don't pay for more than you actually use.
